Submissions for Clinical Trials Ontario

Clinical Trials Ontario (CTO) is an independent not-for-profit organization. It was created with support from the Ontario Government and works with research ethics boards (REBs) and institutions across Ontario to ensure the highest ethical standards.

CTO's system allows one REB to oversee the ethical conduct of research at multiple sites. All reviews are conducted by a CTO-qualified board.

William Osler Health System is a CTO participating site. Please note that you must also obtain all other required institutional approvals (e.g. contracts, institutional authorization, etc.) before conducting a study at Osler.

How does CTO work?

Before starting a CTO application, the investigator:

  • must have a registered CTO account
  • should have consulted their department head/lead before initiating the application
  • must complete training to conduct research activities at Osler

What is the process to obtain approval of a CTO application?

On CTO Stream:

  • complete a provincial initial application (PIA)
  • upload relevant documents and obtain appropriate signatures. When this step is completed, CTO will assign a Board of Record for review

The Board of Record will review your application and raise any issues. Once any issues are resolved, the Board of Record will approve the study and initiate a provincial approval letter. Participating sites are notified via CTO and given access to REB materials.

When Osler is the provincial applicant site, the research team should immediately create the centre initial application (CIA) for Osler.

On CTO Stream:

  • complete a CIA for Osler
  • upload relevant documents and obtain appropriate signatures. When this step is completed, CTO will assign a Board of Record for review

The Board of Record will review your application and raise any issues. Once any issues are resolved, the Board of Record will approve the study and initiate a centre approval letter.
